🖥️ In Microsoft Teams or Outlook:
Open the Viva Insights app
In Teams: Click the “... Apps” menu on the left sidebar, then search for and open Viva Insights
In Outlook (web): Click the Viva Insights icon (usually on the right sidebar)
Go to “Focus Time”
On the Viva Insights homepage, look for a section called “Protect time” or “Focus time”
Click “Book time” or “Set up focus time”
Choose how much time to protect
Select 4 hours per week (1 hour per day, or more if that works for you)
Pick your preferred days and times
Viva will suggest ideal slots, or let you customize your schedule
Choose times when you’re typically less busy or most focused
Turn on notifications and Teams settings (optional but helpful)
Viva can mute Teams notifications during focus time
You can also turn on “Focus music” or reminders
Click “Save” or “Book”
Your focus time will now be blocked in your Outlook calendar as busy time
It will repeat weekly unless you change it
💡 Tips
Viva Insights won’t override existing meetings, so pick times when your calendar is clear
You can adjust or delete focus blocks anytime in your Outlook calendar
For best results, treat focus time like a meeting—no emails, no calls, just deep work
